Administration
Configure and manage the structural components of the platform: users, organisations, websites, data feeds, and competitors.
Users
The Users page (/users) lets you manage who has access to the platform within your organisation.
User List

Adding a New User
- Click the New User button in the top-right corner of the Users page.
- Enter the new user's email address and name in the dialog.
- Save. The user will receive an invitation email with instructions to set their password.
Organizations
The Organizations page (/organizations) is the top-level administrative entity. All websites, feeds, and competitor configurations are grouped under an organisation.
Organization List

| Name | The organisation's display name. |
| Notes | Optional internal notes about this organisation (e.g. account purpose, client details). |
| BigQuery | Indicates whether Google BigQuery integration is active for this organisation. Required for Data Insights. |

Websites
The Websites page (/websites) lists all storefronts being monitored by the platform. Each website is linked to one Organisation and can have its own product feed, competitors, and price rules.
Website List

| URL | The public URL of the storefront. |
| Has Feed | Whether an active product feed is connected to this website. Yes / No. |
| Organization | The parent organisation this website belongs to. |

Switching Between Websites
If your account has access to multiple websites, use the website switcher dropdown in the top navigation bar (next to the Coolpie logo) to switch context. All product, matching, and insights data will update to reflect the selected website.
Product Feeds
The Product Feeds page (/product-feeds) manages the data sources that import your product catalogue into Coolpie.ai. The platform fetches feeds on a schedule and uses them to keep your product list, prices, and COGS data up to date.
Feed List

| Name | A label for this feed (e.g. "Google Shopping DE"). |
| URL | The publicly accessible URL of the feed file (XML or CSV). |
| Website (Organization) | Which website and organisation this feed supplies data for. |
| Data Mapper | The feed format/mapping template used to parse the file (e.g. Google Feed). |
| Fetch Frequency | How often the platform fetches a fresh copy of the feed, in minutes. |
| Active | Whether the feed is currently being fetched. Yes / No. |
| Has Cogs | Whether the feed includes cost-of-goods (COGS) data, used for margin calculations in Price Suggestions. |
| Has Items | Whether the feed includes product listing data. |
| Has Prices | Whether the feed includes current selling prices. |
| Actions | Edit or remove the feed. |
Supported Feed Formats
Currently supported data mapper formats include:
- Google Feed — standard Google Merchant Center XML feed format. This is the most common format and is compatible with feeds generated by tools like DataFeedWatch, Channable, and similar.
Contact support if you require a custom feed mapping for a non-standard format.
Competitors
The Competitors page (/competitors) lists all competitor websites configured for the current website. Coolpie.ai regularly monitors each competitor's prices to keep data up to date.
Competitor List
| Column | Description |

| Name | The competitor's domain or display name. |
| URL | The root URL of the competitor's storefront. |
| Aggregator | Whether this competitor is treated as a price-comparison aggregator rather than a direct retailer. Aggregator sources appear in the Product Aggregators Dashboard. |
| Monitoring | The current readiness and activity status of price monitoring for this competitor (see below). |
| Matching Strategy | How matches for this competitor are handled: Automatic or Confirmation. |
| Actions | Edit or remove the competitor. |
Monitoring Statuses
The Monitoring column shows two indicators — Readiness and Activity:
| Readiness | Meaning |
|---|---|
| Live | Price monitoring is active and delivering data successfully. |
| Ready, no mapping | Monitoring is set up but lacks a product mapping — prices will be collected but may not link correctly to your products until mapping is complete. |
| Not Ready | Price monitoring is not yet configured or has a blocking issue. Contact support. |
| Activity | Meaning |
|---|---|
| Active | Price monitoring is running on schedule. |
| Paused | Price monitoring has been paused (manually or automatically). |
Matching Strategies
| Strategy | Behaviour |
|---|---|
| Automatic | Matches found by the system go live immediately. Use this for high-confidence competitors where GTIN coverage is good. |
| Confirmation | All system-found matches are held in the Confirmation Queue for manual review before being activated. Use this for competitors where product naming is inconsistent or GTIN coverage is poor. |
